Automatic e-mails and reminders
Set up booking confirmations, completion messages or scheduled reminders.
Before you start
The owner configures automatic messages through their assistant. The app needs e-mail credits and a valid recipient address. The Vibee installation must also have e-mail sending configured; credits alone do not replace that setup. Example apps do not send e-mails to real customers.
Say when to send the message, who to send it to and what it should say
Choose the event
It could be a new booking, a completed job or a scheduled reminder. For timed messages, specify the time zone and how to avoid repeated reminders for the same event.
Choose recipients and content
Say whether the message is for the customer, manager or both. Include the subject, necessary details and a booking link if needed. Do not send internal notes to customers.
Test the message
Use your own test e-mail and a test record. Check content, links, timing and message count before using the workflow with customer contacts.
When a service job changes to Done, e-mail the customer with the job number and a message that it is ready for collection. Do not include internal notes. First prepare a test using my own e-mail.
In my booking app, configure an e-mail reminder one day before the appointment using Europe/Prague time. Skip cancelled bookings and remind each booking only once. Show me how to test it.
If the confirmation e-mail does not arrive
A record can be saved even if its follow-up e-mail fails. Check the contact, spam folder, credits and errors with your assistant. Do not submit the whole booking again just because its e-mail is missing.
Failed e-mails are not retried automatically. Agree on another attempt with the owner and check whether the previous message arrived. Each recipient uses one credit.
