When it helps
Instead of ticking off payments by hand, you upload a bank statement as CSV or Excel. The app assigns payments to invoices by the variable symbol or another detail the owner sets up. Each invoice can then show how much is paid and how much is left.
The owner prepares the statement import and the matching rules through their assistant. The button and columns you see depend on your app.
Import a statement
Upload the file
Use the import in the payments table and choose your bank statement. Payments already in the app are skipped, so you can upload the same statement again.
Review the proposal
Choose Review matches. For each payment you see which invoice it goes to and with what amount. Resolve a row with several possible matches by choosing the invoice.
Confirm
Choose Confirm import and assignments. Payments without a match are saved unassigned, and you can reconcile them later.
Partial payments and one payment for several invoices
A deposit and a balance, three instalments of one invoice or one transfer for several invoices of the same customer: the app splits each payment by what is left on the invoices. If the owner set it up, the oldest invoice is paid first.
You can change the amounts in the proposal before saving. Whatever is left of a payment, such as an overpayment or money for an invoice not issued yet, stays unallocated.
Reconcile and correct
Tick stored payments and choose Reconcile. The app proposes how to assign the amounts that are still open. A changed amount replaces the current assignment, and removing a wrong invoice corrects it. If the app keeps record history, it shows the old and the new amount.
Add a bank statement import to payments. Match payments to invoices by the variable symbol and pay the oldest invoice first. Allow partial payments and one payment for several invoices, show the paid amount on each invoice and add a Reconcile button for stored payments.
